About invitations and reminders
An invitation emails each participant a personal link to the survey. A reminder goes to participants who were invited but have not completed the survey. Both use the email templates of the survey, and LimeSurvey fills in the name and the personal link of each participant.
Before you send:
- Activate the survey. On an inactive survey, the sending page warns that your participants will not be able to fill out the survey. See Activate your survey.
- Give every participant an email address and an access code. See Create a participant list.
- Check the texts. See Edit the email templates.
Send the invitations
On the Share page, click Participant lists. On the Survey participants page, click Invite & remind and then Send email invitation. The page Send email invitations opens:
Check who gets the invitation (1): LimeSurvey lists the IDs of the participants who have not been invited yet.
Leave Bypass participants with failing email addresses on On (2). Participants whose email status is not OK are skipped.
Bypass date control before sending email (3): leave it on Off, so participants whose access code is not valid yet, or anymore, are skipped.
Check From, Subject and Message in each language tab (4 and 5). To change the text for all mailings, edit the email templates.
Click Send invitations (6).
Afterwards, Invitation sent? in the participant list and Having an invitation sent in the Summary show who was invited.
Tip: To invite only some participants, select them in the participant list and click Send email and then Send email invitation in the bar below the list. For a single participant, click ... in their row and then Send email invitation.
Send reminders
Click Invite & remind and then Send email reminder. The page Send email reminder has the options of the invitation page, and three more:
- Maximum reminders: no more reminders to a participant who already received this many.
- Minimum days between reminders: no reminder to a participant who got an invitation or reminder less than this many days ago.
- Send email only to participants with partial responses: remind only participants who started but did not finish the survey.
Check the text and click Send reminders.

FAQ
Who gets a reminder?
Participants who received an invitation and have not completed the survey. Participants who opted out, and those skipped by the options on the reminder page, get none.
Can I send the invitations again?
A second Send email invitation skips participants who were already invited. To contact them again, send a reminder. To send them the invitation itself once more, select them in the participant list and click Batch-edit. Tick the box next to Invitation sent?, choose No and click Save. Then send the invitations.
My participants did not receive the invitation. What now?
