Publication, access, and data settings

Publication, access, and data settings

Three groups of survey settings control when your survey can be taken, how participant sessions behave, and what data is stored with each response. You'll find all of them in the survey editor under Settings (the gear icon in the left icon rail), in the panels Publication & access, Participant settings, and Notifications & data.

Publication & access

This panel controls when the survey is available — leave either field empty for no limit on that side:

  • Start date/time — before this moment, visitors cannot take the survey.
  • End date/time — after this moment, the survey closes.

Who may respond — anyone with the link, or only people with an access code — is a separate choice, managed on the sharing overview page (the Share tab in the top bar); see Distribute survey. Embedding the survey in another website is set there too, on the Embed survey card.

Participant settings

  • Enable participant-based response persistence — lets participants leave the survey and continue later. Their answers so far are kept, and when they return they pick up where they left off instead of starting over. Turn this on for longer surveys that are unlikely to be finished in one sitting.

Notifications & data

What gets stored alongside each response is a privacy decision: collect only what you actually need for your analysis.

  • Save IP address (On/Off) — stores the respondent's IP address with their answers. An IP address counts as personal data in many jurisdictions, so leave this off unless you have a concrete reason.
  • Anonymize IP address (On/Off) — masks part of the stored IP address so it no longer identifies a specific device. A sensible middle ground if you only need rough origin information.
  • Google Analytics settings — choose None, Survey settings (enter a Tracking ID for this survey), or Global settings (use the instance-wide ID).

Good to know

To stop a survey, set an end date or use the Deactivate dialog. With an end date, everything you collected stays in place, ready for analysis. Clicking Deactivate opens a dialog — "Do you want to stop your survey?" — with two options: Stop / pause survey sets an expiry date and keeps responses and participant information available for analysis (the built-in safe off-switch), while Deactivate survey archives responses and is the option for reworking a survey. Archived responses are no longer available for analysis, but importable again when you reactivate.

Using the classic editor?

The same options live in the survey's Settings menu, in three panels of the same names, with a few extras:

  • Publication & access: Start date/time and Expiry date/time work as above (clear the expiry field to remove the limit). You can also List survey publicly (default: off) to show it in the public survey portal, Set cookie to prevent repeated participation, and require CAPTCHA codes for survey access, registration, or resuming a saved survey.
  • Participant settings: response persistence is called Enable token-based response persistence and does the same thing — participants can leave and resume with their answers preserved. This panel also holds Anonymized responses (fixed once the survey is active), token length, multiple-response handling, public registration, and confirmation-email options.
  • Notifications & data: alongside Save IP address you can enable Date stamp, Save referrer URL, and Save timings, let participants save and resume manually, and send basic or detailed admin notification emails to one or more addresses (separate them with semicolons; {ADMINEMAIL} notifies the administrator). Google Analytics offers the same three options.
